1. What disconnecting does.
How access works here. Access is something you granted from inside your own QuickBooks Online or Xero subscription, and it takes one of two forms. For QuickBooks Online it is usually the Infraxus app, which you approved from infraxus.com/quickbooks/launch while signed in to your company. For Xero, and for some QuickBooks Online files, it is an ordinary accountant user invitation for liam@infraxus.com, using the role your accounting software provides for an outside bookkeeper. Whichever you granted is the whole of our access. Nothing runs in the background, and we never ask for your online banking password.
So disconnecting means taking that back. You do it in your own accounting software, in the same place you granted it. The steps are in sections 2 and 3.
It takes effect immediately. The moment the user is removed, our access to your file ends. There is no notice period on it, no approval step, and nothing on our side that has to run first.
Your ledger is untouched. Your accounts, your transactions, your reconciliations, your reports and the full history of everything we did stay exactly where they are, in your file, because that is the only place they have ever been. We do not hold a copy of your ledger to delete or to hand back. The work was done in your file, it belongs to you, and removing our access does not remove any of it.
What happens to your data. When you disconnect the Infraxus app, QuickBooks Online revokes the access it granted, sends you to our disconnect page, and the encrypted access we held for your company is deleted at that moment. When you remove an accountant user, the access ends the moment the user is gone. Either way we hold no copy of your ledger. The records we do keep about you, and how to have them deleted, are in section 6.
The one thing to keep in mind: after you remove access, we can no longer see the file, so anything still in progress for the current month stops there. If you want the month finished first, say so before you remove access.
2. QuickBooks Online: remove our access.
You need to be an admin on the QuickBooks Online company. On the web, from your own file, first disconnect the app:
- Open Apps from the left menu, then My apps.
- Find Infraxus.
- Choose Disconnect from its menu and confirm when QuickBooks asks.
The connection ends the moment you confirm, and the access we held for your company is deleted. If Infraxus was also invited as an accountant user, remove that user too:
- Open Settings, the gear icon at the top right.
- Under Your Company, select Manage users.
- Open the Accountants tab. This is the list of accounting firms invited to the company, and it is separate from the main users list.
- Find the row for
liam@infraxus.com. - Choose Delete from the action column for that row, then confirm when QuickBooks asks.
The row disappears and the access is gone. If the invitation was still pending rather than accepted, the same steps cancel it.
3. Xero: remove our access.
You need the Manage Users permission on the Xero organisation. From your own file:
- Click your organisation name, then Settings.
- Under Users and roles, select Users.
- In the list, select the user
liam@infraxus.com. - Choose Remove user.
- Confirm when Xero asks you to.
The user disappears from the list and the access is gone. If the invitation was still pending, removing it from the same list cancels it.
4. What happens to your subscription.
Removing our access is treated as notice to cancel, unless you tell us otherwise. We would rather assume you meant to leave than keep billing you for a file we can no longer open. If you removed access for another reason, for example while you change accounting software or sort out a permission, email security@infraxus.com and we will hold the subscription open for you.
There is no exit fee, no notice period to serve and no minimum term to buy out. The cancellation takes effect at the end of the period you have already paid for, and we do not bill you again after that.
The full cancellation terms, including how a part-paid period is treated, are in the Terms of use. If this page and those terms ever appear to differ, the Terms of use govern.
You will still have everything. Your file is yours, every monthly note we wrote is yours, and nothing is held back over a cancellation.
5. Reconnecting.
If you removed access and want it back, for example after changing plans or sorting out a permission, open infraxus.com/quickbooks/launch while signed in to QuickBooks Online as an admin, choose the company and approve the connection again. For Xero, or for an accountant user in QuickBooks Online, send a new invitation to liam@infraxus.com from the same place you removed it. Email liam@infraxus.com if you removed access for a reason other than leaving, so the subscription is held open rather than treated as a cancellation.
6. Deleting what Infraxus holds.
Removing our access ends what we can see. It does not, by itself, delete the records we already hold about you. Ask for that separately and we will do it.
What we delete on request
- Enquiry records: the email address you gave us, what you asked for, and when. Deleted on request.
- Analytics identifiers: the anonymous identifiers and event records that tie a website session to a signup, and any session replay still within its retention window. Deleted on request.
- Correspondence and onboarding records that are not part of the billing record, once we no longer need them to answer you.
What we have to keep, and why
- Subscription and billing records: the period required by law in your country, seven years for Australian clients and the period United States federal and state law requires for United States clients. These are tax and business records. Keeping them is a legal obligation, not a choice, so they sit outside a deletion request. They are the record of what you were charged and when, held with Stripe as our payment processor, and they are not used for anything else after you leave.
How to ask
Email security@infraxus.com and say what you want deleted. There is no form to fill in.
Identity is verified by the email address on the account. Send the request from the address we hold for you and that is enough. If you write from a different address, we will ask you to confirm from the one on the account before we delete anything.
We answer within 45 days, and usually the same week. This is the same route and the same window as the rights request process in our United States privacy notice, which sets out the rest of your choices, including access, correction and portability.
One thing we cannot delete: your accounting file. It lives in your own QuickBooks Online or Xero subscription, not ours, so it is yours to keep or to remove through your accounting software provider.
7. Security contact.
For anything on this page, and for any security concern about your file or your data, write to security@infraxus.com. It reaches the founder directly and is monitored for security correspondence.
If you think our access has been used in a way you did not expect, remove the access first using the steps above, then write to us. Removing access does not wait on our reply.
